Mistplay is seeking an Office Administrator to support the smooth and efficient operation of our Toronto office and provide essential administrative support to our executive team. This role is critical in creating a positive, organized, and well-functioning workspace, where both employees and visitors feel welcomed and supported. As the Office Administrator, you will manage a variety of tasks ranging from office supply management to event coordination and vendor relations, all while maintaining a high standard of organization and responsiveness. This role is ideal for someone who is proactive, highly organized, and enjoys contributing to a dynamic, people-oriented environment.

What You’ll Be Doing

  • Serve as the first point of contact at reception, greeting employees and visitors with warmth and professionalism, managing deliveries, and maintaining a welcoming presence. Thisrole is expected to be onsite, Monday-Friday.
  • Maintain office supplies, snacks, and equipment by conducting regular inventory checks, placing orders, and ensuring timely delivery of necessary items.
  • Liaise with vendors and service providers to ensure quality service, handling maintenance for office utilities and equipment (e.g., printers, coffee machines) and coordinating repairs when needed.
  • Manage scheduling and set-up for office spaces, facilitating the smooth coordination of meetings, events, and on-site activities for team gatherings and cross-departmental collaborations.
  • Support company culture events and office celebrations, partnering with event planners to prepare spaces, order catering, and ensure all logistics are executed seamlessly.
  • Organize and maintain office-related information and resources, making sure that essential information and tools are readily accessible to all employees.
  • Uphold workplace safety standards, working alongside the internal health and safety representative to address any concerns and maintain a secure environment; obtain and maintain first aid certification.
  • Assist the executive team with calendar management, travel coordination, and expense tracking, providing efficient administrative support to keep schedules and communications streamlined.
  • Oversee daily office cleanliness and organization, ensuring common areas are presentable, restocked, and functional to support an optimal work environment.
  • Handle light bookkeeping tasks, such as managing petty cash, tracking expenses, and submitting relevant documentation to the finance team as needed.

What We’re Looking For

  • 2-4 years in office administration or a similar role, with proven success in multitasking and maintaining an organized workspace.
  • Excellent communication and interpersonal skills, with the ability to engage professionally with vendors, executives, and team members, fostering a positive office atmosphere.
  • Proactive problem-solver with a keen eye for detail, able to anticipate office needs, handle unexpected situations, and maintain a well-ordered environment.
  • Proficiency in Microsoft Office Suite, along with a basic understanding of office management software and systems.
  • Flexible and adaptable to changing priorities, comfortable managing multiple responsibilities in a fast-paced, collaborative environment.
  • Strong understanding of health and safety regulations, committed to creating a safe and compliant workplace for all employees.

$63,855 - $79,819 a year
