Responsible for providing administrative support to the Global Technology Vice Presidents by providing high-level support through means of conducting research, preparing statistical reports and handling information requests. Additionally, incumbent is responsible for performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings.

What Else You Get To Do:

  • Manage the executives’ day-to-day administrative requirements by managing calendars and all incoming correspondence: reviewing and assessing correspondence; forwarding for action or information; seeking direction as appropriate; and tracking the successful completion of each correspondence related action
  • Prepare, compose and edit a variety of documents, including highly confidential correspondence, memoranda, presentations, contracts and proposals of exceptional quality, including those for board and executive audiences
  • Review and assess all incoming requests for Executive’s approval: CEARs, SOWs, CR, DR, Contracts and Amendments, Expense Reports, Minutes
  • Collect background material for meetings
  • Organize on-site & off-site meetings and events
  • Expense reports: prepare, obtain approvals, submit; train team members to complete
  • Oversee team’s facilities requests in Calgary
  • Communicate updates to the team
  • Book travel and accommodation bookings when required
  • Support team members with the timekeeping process, enter time exceptions and run monthly and quarterly reports.
  • Coordinate departmental group activities and work with other administrative staff across all ATCO Group of Companies to coordinate cross company initiatives through the application of strong organizational and leadership skills
  • Compile monthly reporting on financial forecasting for team

Who You Are:

  • Minimum of a High School Diploma
  • 5-7 years of experience in senior leadership or executive level support
  • Exceptional organizational, interpersonal, written and verbal communication skills
  • Conscientious self starter who enjoys working in a team environment, needs a minimum of supervision, and is able to cope effectively under pressure with shifting priorities
  • High level proficiency with Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, Teams and Time & Attendance
  • High level of expertise in all areas of modern office practice and procedures
  • Strong attention to detail and organizational skills
  • Strong work ethic with the flexibility to work overtime as required
  • Proven ability to build effective relationships across all levels of the business
  • Demonstrated ability to perform maturely and professionally ensuring complete confidentiality of sensitive and confidential information.
