The Utilization Coordinator is integral in everyday working of the Utilization team. The goal of the coordinator is to ensure our teams are fully and evenly utilized to the best of your ability by scheduling day to day work as it comes into the office.

As a Utilization Coordinator your responsibilities will include:

Some of your day-to-day tasks will include:

  • Daily scheduling for colleagues in our systems, which includes, monitoring resource requests on the schedule board, ensuring the integrity of files as they flow through the scheduling board ensuring the proper order and process has been followed
  • Responding to Activity Tasks - Triage and respond to activity tasks in a timely manner
  • Maintain accurate schedules in our scheduling software by connecting with people from all of our offices across your region
  • Assigning appropriate client service personnel to engagements by assessing the engagement needs, reviewing skill set of our team, and recommending people that meet the requirements of the clients
  • Support in the hosting of weekly scheduling meetings within business units you become familiar with, eventually running weekly scheduling meetings
  • Responding and resolving scheduling requests in a timely manner and facilitate conflict resolution with those impacted
  • Assisting with coordination and onboarding of new hires as needed with the People and Culture Team
  • Identify areas of concern on the schedule i.e. too much back log of files, too much capacity, conflicts, excessive carry-over
  • Working closely with a dynamic team including a Resource Manager and Scheduling Coordinators on prioritization of tasks and projects
  • Monitoring and maintaining an email account where all scheduling requests are funnelled and processed
  • Providing administrative, reporting and project support to the team as required

  • Proficiency with MS office suite, particularly MS Excel
