About The Role

Reports to: The Office Manager

Exergy is seeking for a talented and self-motivated Office Administrator to join our team and help manage the day-to-day administration of our organization. If you enjoy working in an environment that values creativity, critical thinking, and innovation, then this will be a great fit for you. At Exergy, we are fortunate to have attracted a group of talented individuals who are driven by a desire to solve real problems and who are committed to working collaboratively to achieve shared goals. This role is 5 days per week position at the Quarry Station (Nexus) location.

KEY RESPONSIBILITES

  • Preparing purchase orders and maintaining detailed records of procurement activities for the projects
  • Coordinating with internal departments to ensure proper communication and understanding of procurement needs and specifications
  • Placing and tracking orders and ensure timely delivery of goods and services
  • Handling basic bookkeeping tasks such as expense coding and work with the team to ensure these are submitted in a timely manner
  • Support with the coordination of shipment of goods: determine best method of shipment and arrange shipping
  • Assistance with greeting visitors and answering incoming calls professionally and redirecting them to the appropriate personnel
  • Book travel arrangements for team members

Qualifications

Candidates for this position will have:

  • Outstanding communication and interpersonal skills
  • Proficiency with basic accounting and office procedures
  • Excellent organizational skills
  • Proficiency with office software like Microsoft office 365
  • Ability to deal with multiple projects and tight deadlines
  • Good data entry skills
  • Ability to work well in a team environment and independently
  • High school diploma; with post-secondary or proven experience as an office administrator
