Overview

The Opportunity

Dillon Consulting is seeking motivated candidates to fill a Proposal Administrative Assistant position for its Business Development and Sales team . The addition of this role is part of an exciting new approach to managing our proposal sales operations in Dillon! As part of our Proposal and Sales Team , you will be responsible for providing administrative support to our proposal development team, ensuring the smooth and efficient operation of the proposal development process. Responsibilities

What your day will look like

Proposal Administration and Support

  • Assist in the coordination of proposal activities, specifically monitoring Dillon’s proposal support requests and assigning support needs to one of our Proposal Specialist teams.
  • Respond to submission manager queries in a timely manner.
  • Organize and maintain proposal documents, files, and databases.
  • Support the proposal coordinators in preparing and formatting proposals.
  • Review and edit proposal content for grammar, punctuation, and spelling.
  • Provide administrative support to the proposal coordinators as needed.
  • Support the proposal content specialist in maintaining our library of proposal material, including CV and Bio library.


Provide Back up Support (as Required) to Project Opportunity Team:

  • Opportunity Management: Conduct daily searches for new opportunities, download necessary documents and monitor addenda.
  • Supplier Portal Registration and Management : Manage supplier portal registrations and updates on an as-needed basis.

  • Commit to self-development and ongoing learning and professional development.
  • Contribute to Dillon’s corporate profile through active participation in professional associations and committees.


Qualifications

What you will need to succeed

  • At least 1 year of experience in administrative support, preferably in a proposal development environment
  • A deep desire to help and guide our clients on their path to success.
  • Valid G Driver’s license.


Experience

  • Excellent organizational and communication skills.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and ability to multitask.
  • Proficient in Microsoft Office Suite, particularly WordPro.
  • Experience with Microsoft Sharepoint is considered an asset.
  • Experience with proposal management software is considered an asset.
