PROJECT ADMINISTRATOR ROLE
Title: Project Administrator
Reports to: Site Manager
The Project Administrator is the primary administration support contact on site providing a range of services to all employees and managers related to project administration and workforce management. This includes staffing & scheduling, Data Entry,benefits & leave administration, on-boarding, and orientation. They are also responsible to provide confidential administrative support services in a fast paced and detailed environment to the site leadership team as required in an efficient, timely, and professional manner to ensure smooth, efficient and effective day to day business activities at site.

The Project Administrator is the primary administration support contact on site providing a range of services to all employees and managers related to project administration and workforce management. This includes staffing & scheduling, Data Entry,benefits & leave administration, on-boarding, and orientation. They are also responsible to provide confidential administrative support services in a fast paced and detailed environment to the site leadership team as required in an efficient, timely, and professional manner to ensure smooth, efficient and effective day to day business activities at site.
Basic Duties And Responsibilities
- Handles highly confidential, sensitive and/or critical information, files, records and reports
- Monitors that work is performed within schedule and manpower budget constraints.
- Manages and coordinates mechanical on call schedule and book
- Coordinates requirements for any additional resources for site to the local union halls.
- Coordinates alignment with site resource reductions.
- Prepare all resource requests for approval by the Site Manager and submit to applicable Building Trades Unions.
- Follow-up on all resource orders confirming they have been filled, if not take steps to acquire the necessary resources by:
- Liaising with Union Dispatchers and Business Agents to fill orders with members, travel cards, permit workers and/or related trades.
- Manage all new hire employee sign-on’s when they arrive to site.
- Manage and ensure that all new hires using online training, receive the support and direction required to complete the applicable training.
- Collect and manage all new hire materials to ensure compliance to Site and CAM policies ,e.g. Certifications, Trade Tickets, welding tests and results.
- Maintain and manage a database of all resource requests.
- Provide updates to the Site Manager and leadership team on resource requests and their status.
- Be the focal point for all training on the site including both in class and online training, ensuring that all newhires receive the appropriate training before going to the field.
- Manage training records, including CAM and ISNetworld database files, and update the site-training databases as required.
- Support Team Leads and Supervisors to coach/ mentor apprentices and ensure we are meeting the respective ratios.
- Manage the site apprenticeship program and maintain records of apprenticeship ratios and progression hours and dates.
- Support the client with administration of ISNetworld account and administration as directed by the Site Manager
- Assist with communications for site i.e.: Memos
- Submit monthly report to corporate i.e. SVDP
- Manage office consumables including office supplies, and printer and copier supplies
- Process any IT requests both for the client and CAM
