Our Parks & Transportation Department is looking for a dedicated Administrative Coordinator to join the team.
Position Responsibilities
The standard workweek consists of an average of 40 hours, with the specific schedule being determined by the immediate supervisor.
Compensation
Starting Salary $35.40 per hour as per the Out-of-Scope Agreement.

Our Parks & Transportation Department is looking for a dedicated Administrative Coordinator to join the team.
Position Responsibilities
- Manage administrative staff, including recruiting, training, performance management and mentoring.
- Ensure alignment with departmental goals and customer service standards.
- Organize staff meetings, address operational issues, and promote a positive work environment.
- Oversee adherence to City policies, FOIP standards and employee health and safety requirements.
- Advise, monitor and report on budgets for 20+ programs totaling 19.5 million.
- Analyze financial data, prepare variance reports, and manage capital project tracking.
- Approve payables and provide financial advise and training to team members.
- Support tender processes and ensure alignment with budget forecasts.
- Develop and maintain administrative procedure manuals.
- Implement cross-training schedules and ensure staff readiness for departmental needs.
- Lead or contribute to special projects and initiatives.
- Assist with on-boarding 70+ seasonal staff annually.
- Coordinate emergency response planning and safety training programs.
- Serve as a subject matter expert in administrative technology and municipal policies.
- Advise on and develop departmental procedures that enhance efficiency and compliance.
- Maintain confidential records, including personnel files and operational documents.
- Represent the department in inter-departmental meetings and initiatives.
- Foster strong working relationships with external partners and internal teams.
- Diploma in Business Administration, Public Administration or a related field.
- Minimum of 3-5 yrs of experience in an administrative supervisory role.
- Demonstrated experience in municipal operations is required.
- Proven expertise in financial management, including budgeting, forecasting & Variance reporting.
- Advanced proficiency in financial analysis and reporting systems.
- Strong leadership & team management capabilities including performance management & mentoring.
- Excellent organizational & communication skills, both verbal & written.
- High level proficiency in computer systems.
- Knowledge of FOIP and related legislation is required.
- Certification in Leadership & Management is an asset.
- Familiarity with H&S regulations and training systems is an asset.
