In this role, you will be responsible for coordinating contracts and agreements alongside the Contract Manager, ensuring compliance with relevant policies and regulations, and completing project setup in Stok’s ERP software. This role requires strong collaboration skills to work effectively within a self-managed governance framework. Attention to detail is crucial as the coordinator will review documents, track contract milestones, and support negotiations. The ideal candidate should be proactive, organized, and possess excellent communication skills to facilitate discussions and resolve issues that arise during the contract lifecycle. COMPENSATION RANGE: $58,500-$85,600 based on market location and experience.

Responsibilities
- Support the Contract Manager in the following areas of responsibility
- Coordination and/or negotiation of contract provisions or changes among internal and external stakeholders.
- Summarizing contract requirements and ensure contract execution abides organizational policies.
- Administering, preparing, revising, and monitoring contracts that involve purchase or sale of goods and services.
- Reviewing and evaluating contracts for Stok’s risk management practices.
- Create projects in Stok’s ERP software for project managers.
- Frequent audits of project data and contract data.
- Providing any required additional support to mitigate risk exposure.
- Managing insurance compliance and certificates of insurance for clients and subconsultants.
- Conduct project setup for all new Canada-based projects.
Please note that contract management responsibilities will be the primary function of this role.
- Processing employee payroll accurately and on time.
- Maintaining and update payroll records, including tax and benefit deductions.
- Ensuring compliance with federal, state/provincial, and local payroll laws.
- Addressing payroll inquiries and resolve discrepancies.
- Assisting with preparing payroll-related reports for management.
What you’ll need to be successful in this role:
- Bachelor of Business Administration or Commerce
- Experience with contracts in the Architecture, Engineering & Construction (AEC) industry
- Exceptional Analytical Skills: Precision, efficiency, and creativity in handling data or challenges.
- Collaboration and Communication: Ability to work effectively with diverse personalities and work styles, partnering with operational team members, project team members, and service providers.
- Organizational and Time Management Skills: Proven ability to manage multiple priorities, track deadlines, and ensure the seamless delivery of high-quality contracts.
- Attention to Detail: A sharp eye for detail, thoroughness, and accuracy to ensure all deliverables meet Stok’s high standards, contract law and compliance regulations.
- Self-Management Skills: ability to work autonomously, the understanding/discretion to know when to pull others into the fold and the drive to turn your words into actions
- Proficiency with MS Office applications, especially Word and PowerPoint, and Adobe Suite
- Experience with public agency contracting and procurement processes in Canada
- Experience with Deltek VantagePoint or other Deltek products
- Familiarity with ClickUp and SharePoint
