As Proposal Coordinator, you'll help our teams ensure every interaction with Stok leaves the audience impressed—met with sincerity, boldness, and joy. Working alongside a passionate, values-aligned global team, you'll craft compelling proposals that support our mission to create an environmentally restorative and socially equitable world. In this role, you'll collaborate directly with business leaders, subject matter experts, and our Client Solutions team, as well as your fellow marketers. Together, you'll uncover opportunities, create standout proposals, and drive results that advance client ambitions.

Responsibilities
- Opportunity Prioritization: Facilitate the Go/No-Go process, helping teams evaluate and prioritize opportunities that align with our growth goals and deliver the greatest impact.
- Opportunity Discovery and Research: Regularly monitor industry trends and sites to identify new opportunities by gathering research on clients, competitors, and markets. Maintain a proactive approach to uncovering insights that drive strategy and impact.
- Proposal Development: Collaborate with business leaders, subject matter experts, and the Client Solutions team to craft compelling Statements of Qualifications (SOQs) and proposals. Ensure all submissions are clear, compliant, and tailored to client goals.
- Creative Storytelling: Assemble written and visual content for client presentations, weaving technical expertise and bold messaging into a narrative that resonates.
- Document Production and Layout: Ensure all proposals and client-facing deliverables are visually polished, professionally formatted, and aligned with our brand—leaving audiences impressed at every interaction.
- Process Management: Track schedules, milestones, and deliverables for individual pursuits and proposals—ensuring seamless coordination and on-time delivery.
- Content Creation and Organization: Develop and maintain systems to organize and retrieve information— including templates, boilerplate content, visuals, and client data—streamlining future proposals and communications.
- Strategic Support: Assist in creating pursuit plans and coordinating client outreach activities, enabling our teams to align with client needs before RFPs are even released.
- Team Collaboration: Partner with cross-functional teams to gather input, facilitate pre-submittal meetings, and refine messaging for maximum impact.
Qualifications
What you'll need to be successful in this role:
- Experience with Requests for Proposals (RFP) and/or Requests for Qualifications (RFQ) processes, ideally in architecture, engineering, or construction.
- Exceptional Writing and Editing Skills: Ability to craft clear, concise, and compelling content tailored to diverse audiences, ensuring proposals and deliverables are polished and professional.
- Collaboration and Communication: Ability to work effectively with diverse personalities and work styles, partnering with business leaders, subject matter experts, and fellow marketers.
- Organizational and Time Management Skills: Proven ability to manage multiple priorities, track deadlines, and ensure the seamless delivery of high-quality proposals and client-facing materials.
- Attention to Detail: A sharp eye for detail in written content, visuals, and layouts to ensure all deliverables meet Stok's high standards.
- Strong Research Capabilities: Proficiency in gathering and synthesizing data about clients, competitors, markets, and opportunities to inform strategy.
- Self-Management Skills: Ability to work autonomously, the understanding to know when to pull others into the fold and the drive to turn your words into actions.
- Proficiency with MS Office applications, especially Word and PowerPoint.
Additional qualifications we'd be excited for you to bring:
- Knowledge of Go/No-Go Processes: Experience facilitating RFP/RFQ evaluation and decision making with multiple internal contributors.
- Experience with public agency contracting and procurement processes in Canada.
- Creative design skills for developing visually engaging client presentations and deliverables.
- Familiarity with AI technologies (e.g., ChatGPT) and enthusiasm for learning how to integrate these tools to enhance proposal quality and streamline processes.

Stok does not require team members to be in an office, but our office locations are open to foster team collaboration and connectivity. This role will have the opportunity for in-person collaboration with Stok teams in Vancouver and/or Edmonton but can be located anywhere in Canada.
COMPENSATION RANGE: $54,500-$75,500 based on market location and experience.
