HOW DO YOU FIT IN?
The successful individual will have the following experience, education, and ability to develop these demonstrated skills:
- 1 – 3 Years of Experience as a front office, receptionist or administrative support role
- Demonstrated experience in customer service, client relations, or similar client-facing roles.
- Previous experience managing office spaces and coordinating office supplies, services, and events is an asset.
- Familiarity with using office equipment (phones, AV systems, printers) and software (Microsoft Office Suite, email platforms, scheduling tools)
- High school diploma or equivalent is required.
- A diploma or certificate in business administration, office management, or a related field is an asset.
- Additional training or certifications in customer service, event coordination, or office administration are advantageous but not required.
Customer Relations Management – 65%
- Professionally screen and answer phones, relay messages and assist in addressing any concerns or questions a client may have
- Greeting guests/clients/couriers with a friendly and professional demeanor
- Manage the use of meeting space including Board Room, Meeting Room, and Library ensuring they are clean and tidy, and set up correctly for meeting needs as requested
- Manage and know how to use the audio visual equipment in each meeting room.
- Oversee the upkeep of kitchen spaces, ensuring they remain clean and organized
- Ensure functional environment through clean and safe workspace
- Plan and coordinate office events and catering as needed/requested
- Maintain a clean, functional and safe workplace throughout the office
- Managing general mail, fax or general email inquiries
- Supervise office equipment, supplies, services and maintenance
- Filing and archiving of files, including documenting the archive information and management of offsite storage
- Oversee office diary and daily coordination of office functions
- Research office services, supplies and equipment
- Manage requests from team members for office supplies.
- Manage job role procedure manual
- Coordinate office temps
- Manage the employee birthday list, handling cards and celebration coordination
- On site support for any work from home administrators
- Vacation relief for any duties of Mortgage Admin Team as required
- Assist Executive Assistant with duties as required
- Assist with marketing resources
- Other duties as assigned
