Job Summary
Extended Learning (ExL) continues the long tradition of continuing education at UBC through the delivery of professional programs. Extended Learning works with UBC faculties, units and the wider community to provide flexible career- and life-enhancing education programs to diverse learners. It is part of our mandate to share UBC excellence in academics, teaching, and research and strengthen our contribution to learners, society, industry, and government
The ExL Program Coordinator provides leadership in the maintenance and the successful delivery of organizational coaching certificate, micro-credential programs, and related educational offerings within a revenue generating operation. Responsible for developing and managing the logistics surrounding the overall planning, design, curriculum development, facilitation, assessment and delivery of blended and online organizational coaching programs and courses. Works directly with the Program Director, Program Leader, Program Advisor and other stakeholders in the organizational coaching community in the areas of coaching, equity, diversity, and inclusion, online learning, adult learning, instructional design, curriculum development, and, virtual technologies, and administrative processes and strategies. The Program Coordinator is also responsible for operational requirements and decision-making within new business development thereby enabling the team to create profile and visibility with both the community and industry
Organizational Status
The Program Coordinator reports to the Program Leader, UBC Extended Learning Career and Professional Programs, and under the general direction of the Program Director and works collaboratively within UBC Extended Learning and across UBC to promote excellence in the delivery of organizational coaching programs.
Work Performed Oversees the communication of organizational coaching program’s strategic planning, design, development, implementation, maintenance and administration of in-person, blended and online certificates and courses by optimizing student and educator experiences and through ongoing and timely communication with program stakeholders
Consequence of Error/Judgement
Incorrect or poor decisions will have a significant impact on the reputation of the University, which could affect client satisfaction and the financial viability of the department. Poor judgments could result in legal liability of the University. Poor hiring decisions could affect quality of courses and programs. Decisions have an impact on the development of relationships both within the university and in external communities. Decisions affect the credibility of UBC ExL programs and services as well as the University, and hence the success of these initiatives university- and community-wide, as well as internationally.
Supervision Received Formally reports to Program Leader, Organizational Coaching within the overall policies and procedures of the unit and with minimal supervision. Works collaboratively in a team structure, while demonstrating capability to work independently in carrying out areas of responsibility
Supervision Given
Supervises and works with Program Assistant and advisors. Supports the work of the UBC Extended Learning Student Services Hub.
Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.
Organizational Status

Work Performed Oversees the communication of organizational coaching program’s strategic planning, design, development, implementation, maintenance and administration of in-person, blended and online certificates and courses by optimizing student and educator experiences and through ongoing and timely communication with program stakeholders
- Partners with Program Leaders supporting coordination of resources to support participant activities, ranging from tracking participant submissions, creating participants groups, allocating program team resources, updating and upgrading participant-facing materials and logistics.
- Consults with internal and external stakeholders, conducts market scans, surveys and needs assessments to retain existing students and attract new students.
- Provides recommendations, implements and continually improves technology-enhanced learning through online learning management systems and virtual technologies.
- Provides leadership in the development and maintenance of program-level processes and procedures within and across programs, such as Instructor Information HUB (IIHUB) content and resources.
- Develops and makes decisions around online learning materials and educational instruction based on learning objectives and learner needs in collaboration with program leadership and subject matter experts.
- Collaborates with subject matter experts, consultants and faculty members in various disciplines and liaises with organizational partners to build relationships, grow new business and support the team around new course development, course maintenance and course revisions.
- Collaborates with the programming team to develop strategic and collaborative partnerships with UBC faculties, departments and unit, professional associations and organizational sectors both locally and globally.
- Collaborates with ExL Marketing team to develop marketing strategy across multiple channels and create program and course descriptions.
- Develops relationships on campus and in the external community, acting as a program liaison and first point of contact.
- Oversees student enrolment levels with regard to course offerings and course cancellations.
- Analyses and oversees the development of policies, systems and organizational practices to support the delivery of programs. Ensures program policies and quality assurance are maintained to the highest standard.
- Oversees processes and procedures for appropriate record keeping. Assumes ultimate responsibility for accuracy of student records.
- Performs other duties related to the qualifications and requirements of the job as specified by the Program Leader.
