Inside Sales Coordinator

The Inside Sales Coordinator is responsible for customer order entry; coordination of activities between customers and sales; coordination of transfer business (in/out); coordination of all activities with offsite sales representatives; coordination of trials and coordination of product shipments.
PRINCIPAL RESPONSIBILITIES
Within the limits of applicable policies, food safety and quality guidelines, procedures and established plans, he/she has authority to take action and make decisions. The assignment of work or delegation or responsibility does not relinquish responsibility for results. Performance will be measured by the extent to which the responsibilities have been fulfilled.
Functional Responsibilities
Customer Service
- Maintain communication with customers and sales representatives.
- Order entry - ensure the sales order correctly reflects the customer’s requirements and the order is priced correctly.
- Make product structure edits in QAD and Access database.
- Respond promptly to customer inquiries, concerns & requests.
- Investigate and resolve customer complaints in a timely manner; communicate and coordinate with internal departments as required.
- Coordinate returns; prepare samples; investigate & report on shipping problems; prepare debit/credit requests.
- Maintain Current Item and Customer information in QAD system, FA reports, and Sales Order output.
- Removal of obsolete masters and artwork/plates.
- Manage customer database; maintain files and accurate status sheets.
- Prepare customs documents as required.
- Vendor managed inventory (VMI) as required by approved customers contracts.
- Accurate and timely invoicing for customer orders/credits.
- Filing of correspondence and bills of lading.
- Prepare pre-shipping documents for shipment of completed orders.
Inside Sales
- Work order approval for new/change items. Review new/change business with production and Packaging Engineer for capabilities, standardization, etc.
- Review sales/process/system for cost reduction, waste reduction, and standardization opportunities. Work with sales/service and scheduling to consolidate small run quantity items.
- Assist with coordinating transfer business (in and out).
- Coordinate with sales, production and Packaging Engineer on bag style, size, and product structure.
- Act as the point of contact for off-site sales representatives, providing assistance with brand letters, item creation, complaint entry and cost estimates.
- Compile and maintain universal price list for all customers, control all generation and revisions to price lists, generate new lists based on price increases.
- Assist in new initiatives; VMI, forecast, reduction of set-up.
- Generate and follow-up on sample bag requests generated by sales.
KEY WORKING RELATIONSHIPS
- Consult, participate and cooperate with team members in Accounting, Human Resources, Production and Sales on matters relating to his/her responsibilities and duties.
- Maintain strong professional relationship with sales representatives and key contacts at the given accounts.
- Maintain contacts with professional societies keep current on latest best practices and implement where appropriate.
QUALIFICATIONS
Education & Experience
- Post-secondary graduate and 3-5 years’ Sales and/or Customer Service experience or High School or GED and 5-7 years’ experience
Skills
- Computer literate
- Good communication skills both verbal and written, including negotiation and presentation skills.
- Good interpersonal skills
