Reporting to the Director of Administration, the Human Resources Specialist plays a pivotal role in supporting the organization’s growth and success by managing HR functions, driving internal recruitment efforts, and overseeing office operations. As a key liaison between employees and management, this position ensures seamless communication, adherence to policies, and the cultivation of a positive workplace culture. Key Responsibilities

As the Human Resources Specialist, you will be responsible for the following:


Human Resources

  • Maintain HR data, policies, and procedures in compliance with company goals and legal requirements.
  • Ensure compliance with Health, Safety, and Environmental (HSE) requirements, fostering a safe workplace.
  • Optimize the organization’s HRIS and manage vacation tracking.
  • Administer employee benefits programs, ensuring accurate enrollment and communication of benefits.
  • Manage performance management processes and collaborate on succession planning initiatives to support organizational growth.
  • Lead employee engagement initiatives, including feedback surveys and team-building activities.
  • Assist with HR training programs to promote professional growth and organize events to improve morale.


Internal Recruitment

  • Prepare job descriptions, source candidates, and conduct pre-employment screenings.
  • Draft offer letters and coordinate onboarding processes to ensure positive new hire experiences.
  • Maintain up-to-date organizational charts for strategic planning.
  • Collaborate on recruitment projects and manage offboarding processes as needed.


Office Administration and Support

  • Collaborate to maintain a safe, organized, and productive workspace that supports team success.
  • Support the Director of Administration with various office tasks, ensuring operational efficiency and responsiveness to organizational priorities.


Qualifications

To succeed in this role, candidates should demonstrate the following:

  • Post-secondary education in Human Resources or a related field is required.
  • A minimum of 2–3 years of HR in Canada and administrative experience in a fast-paced, deadline-driven environment.
  • Proficiency in MS Office and adaptability to new HR software and systems.
  • High attention to detail and accuracy in record-keeping.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Ability to manage confidential information with discretion.
  • Knowledge of employment laws and regulations.
  • Strong interpersonal skills to work with diverse stakeholders.
  • Flexibility and adaptability to changing priorities in a dynamic environment.
  • Critical thinking and problem-solving abilities.
  • Exceptional time management skills to meet deadlines consistently.
