Executive Assistant

Transdev Canada is hiring an Executive Assistant for Western Canada based in Calgary, AB!

As an Executive Assistant at Transdev Canada, you will be a key player in achieving Transdev's business objectives. We are looking for a motivated individual to join our team!

Your role

• Efficiently manage schedules and coordinate appointments to ensure smooth daily operations for the executive team.
• Participate in executive meetings to organize, take minutes, keep time, and ensure accurate documentation of discussions and decisions of the Western Cananda Executive Team.
• Track and manage the action items and critical issues, following up with the executive team on their commitments to ensure timely completion.
• Arrange travel plans, itineraries, and accommodations for the executive team, including the preparation and submission of expense reports.
• Maintain and organize records, documents, and files, ensuring they are up-to-date and easily accessible.
• Be prepared to travel approximately one week a month (2-4 days) to various sites, supporting the executive team as needed.
• Develop and implement structured processes for meeting organization, document management, and follow-up to enhance efficiency and effectiveness
• Maintain and track certain corporate programs, such as insurance renewals.
• Ensure all activities comply with company policies and procedures, maintaining the highest standards of confidentiality and professionalism.

• Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
• Very strong interpersonal skills and the ability to build relationships with both internal and external stakeholders.
• Expert level written and verbal communication skills.
• Demonstrated proactive approaches to problem-solving with strong decision-making capability.
• Highly resourceful team player, with the ability to also be extremely effective independently.
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
• Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
• Advanced experience with Outlook (i.e. mail merge, conditional formatting, template creation, cross-post between calendars, exporting spreadsheets.
• Strong internal and external customer service skills
• Able to operate with a high degree of tact and confidentiality
