Our team is in search of a Legal Assistant. As Legal Assistant, you will work collaboratively with our team and clients providing comprehensive administrative support. This role involves a variety of tasks that will help facilitate the efficient operation of the firm while ensuring the highest level of client service. If you are growth-focused, this role has the potential to transition into a Paralegal role over time.

What you will do:
- Support the flow of client files from the time we open their file to the time we complete their work successfully, including retainers, document and file management, etc.
- Provide direct administrative support to our team.
- Assist members of the team through document creation, scanning, e-signing, faxing/mailing/couriering, and reporting.
- Support the smooth functioning of a high-performance, growing legal team by coordinating billing and A/R as well as processing payments.
- Support the processing of Annual Renewals for Nova Scotia Companies with the Registry of Joint Stock Companies, including client communications, billing, and Registry filings.
- Aid in scheduling and calendar management with proactive communication for all participants.
- Make our clients feel comfortable by communicating clearly and efficiently during calls, payment processing, and regular follow-ups.
What you will bring:
- Post-secondary education in a related discipline from a college or university is preferred but additional relevant experience will be accepted in lieu of formal education.
- Minimum of 2 years’ experience working in a professional fast-paced client service environment where collaboration with all levels of the organization is part of daily life.
- Keen attention to detail, professional judgment, tact, diplomacy, and confidentiality.
- Ability to thrive in environments where organization, prioritization, and diligence are necessary.
- Proficiency with MS Office 365 (Outlook and Word) is required. Experience with additional MS Office 365 Products (Excel, PPT, Visio), Adobe, and Clio legal technology is an asset.
- As a problem solver and self-starter, you can anticipate the team’s needs and assist proactively.
- Experience building trusted relationships based on empathy, respect, kindness, and professionalism. Ability to communicate effectively in a wide range of circumstances, always with a client service-oriented approach.
