The Fleet Coordinator is responsible for coordinating the day-to-day activities to support programs within the Fleet & Equipment Services department. The coordinator uses the departmental technology systems to coordinate services and track work related to the maintenance of fleet assets.

KEY RESPONSIBILITIES:

  • Reviews and monitors day-to-day contractor and vendor performance and services
  • Liaises with vendors and transacts on contract terms in accordance with Service Level Agreements
  • Responsible for contract administration, by coordinating, reviewing and involving appropriate stakeholders with regard to asset-related maintenance and service
  • Monitors and reviews contractor health and safety practices through contractor safety management programs.
  • Coordinates requirements with internal stakeholders, external consultants, suppliers, contractors, etc.
  • Provides support in the execution of projects, including cost estimates and schedules
  • Provides direction to contractors and vendors regarding service agreement expectations
  • Prepares reports, updates records and documents pertaining to programs and/or projects
  • Performs departmental administration activities as required to manage each program and proactively initiates process improvement initiatives.
  • Investigates and follows-up on submitted work requests from both internal and external customers, utilizing departmental technology system for reporting and analytics to review work order submissions on a day-to-day basis to guarantee work orders are closed in a timely manner.
  • Monitors analytics that assess and monitor pace and quality of work order closure
  • Supports Fleet & Equipment Services Team in any other activities as required

REQUIREMENTS:

  • Post-secondary education in Business Administration, Engineering, or related field
  • 1-3 years' experience working with maintenance programs, equipment asset management, contractor management, and project coordination
  • Experience using SAP and advanced MS Office skills
  • Project management; support and execution of projects is preferred
  • Previous experience working in a unionized environment is preferred
  • Knowledge of fleet maintenance operations
  • Experience managing a wide variety of internal and external stakeholders (internal business units, contractors)
  • Superior verbal and written communications skills
  • Strong interpersonal skills
  • Ability to suggest changes or to support new and/or modified processes which contribute to improved productivity and departmental/ divisional performance
  • Ability to accept work assignments with a clear understanding of related quality, quantity, cost and performance targets / expectations
  • Ability to perform work in a manner that ensures own health and safety and the safety of others
  • Ability to act as a safety leader by incorporating sustainable safety and environmental considerations into business decisions and actions
  • Excellent project management, time management organizational skills
