Job Description
We are seeking an Office Support professional to join the People Corporation team in Toronto, ON. This is a part-time role, requiring availability Monday through Friday from 10:00am to 2:00pm EST.
Reporting to the Corporate Facilities Manager, the Office Support professional will be responsible for the sorting, scanning, and distribution of incoming mail and couriers to different business units. They will prepare and process outbound mail and drop off mail at the mailbox at the end of the day.
This role will also provide general and back up support to the Guest Services and Access Control Coordinator. The successful candidate will be energetic, organized, detail-oriented, and will play an important role in ensuring a great experience for our staff every day.

The Office Support professional will:
- Receive, sort, scan and distribute incoming mail, faxes, and courier items.
- Support the process of outbound mail and courier items for pick up at the end of each day by coordinating courier pick-up and deliveries and maintaining mailing labels for clients and brokers.
- Record shipment details in the log.
- Manage mail drop-off and pick-up registered letters at the Canada Post facility.
- Manage return of mail.
- Maintain postage, the postage machine, and monthly reporting of postage usage.
- Scan cheques and financial statements and ensure they are added to the weekly spreadsheet.
- Prepare and mail out benefit drug cards as required.
- Manage and prepare Iron Mountain pick-ups and drop-offs.
- Provide general support and back-up relief to Guest Services, the Access Control Coordinator, and Facilities as needed.
- Maintain, restock, and order office and facilities supplies.
- Support other projects as assigned to meet business and client needs.
- Provide administrative and event support to leadership team and staff as needed.
- Maintain a high level of discretion and confidentiality and ensure discreet handling of all executive and corporate information.
- Coordinate the management and reconciliation of office expenses and corporate credit card accounts.
- Perform other duties as assigned.
- Experience working in an office environment.
- Excellent communication skills.
- Proficiency in MS Office applications including Word, PowerPoint, and Outlook.
- Advanced MS Excel skills and ability to work with large amounts of data, existing spreadsheets, and tracking documents.
- Commitment to meeting objectives and required timelines.
- To be adaptable; actively embraces and manages change.
- Strong analytical skills.
- The ability to liaise effectively with various levels of management and establish relationships with external suppliers and customers.
- The ability to work well within a team and displays a collaborative attitude.
- The ability to prioritize and manage routine and non-routine tasks.
- Excellent written and verbal communications skills in English.
- Previous work experience in the real estate, property management, or facilities management industries.
- Exceptional organizational skills with strong attention to detail.
