This is a full-time, on-site role in Ottawa, working Monday to Friday.

Position Overview

We are seeking a detail-oriented and proactive Operations - Administrative Assistant to support our operations team and ensure the smooth day-to-day functioning of administrative tasks. The ideal candidate will be highly organized, a strong communicator, and able to multitask in a fast-paced environment. This role is critical in maintaining the efficiency of our operations and enhancing the productivity of our team.

Responsibilities

Administrative Support:

  • Provide comprehensive administrative support to the operations team, including managing schedules, organizing meetings, and maintaining records.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Track and report on key performance metrics for the operations team.
  • Act as a point of contact between operations staff and other departments or external stakeholders.
  • Ensure timely resolutions to queries from Finance to Operations for a variety of issues.

Fulfillment Management:

  • Act as backup for the Operations Customer Support role
  • Update sales order log as required
  • Correspond with customers regarding order fulfillment dates and manage changes,
  • Create sales order confirmations based on Operations delivery schedules and send to customers.
  • Act as customer advocate to facilitate customer requests

Qualifications

Education & Experience:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
  • 2+ years of experience in an administrative, operations, or office management role.

Skills:

  • Excellent organizational and time-management skills.
  • Detail-oriented with a problem-solving mindset
  • Strong written and verbal communication skills.
  • Strong Excel skills required, SAP experience is a plus
  • Familiarity with project management and SAP software is a plus.
  • Ability to handle confidential information with discretion.
