Our Recreation Department is looking for a dedicated Administrative Assistant II to join the team.

Position Responsibilities

The Administrative Assistant specializing in Aquatics Scheduling will be responsible for managing and coordinating all aspects of our aquatic staff schedules. You will work closely with the Aquatics team to ensure smooth operations, effective communication, and optimal scheduling of facilities and staff. Key Responsibilities: Develop, manage, and update aquatic program schedules, including swim lessons, pool rentals, events, and staff shifts. Coordinate with instructors, lifeguards, and other staff to ensure coverage and address scheduling conflicts. Communicate schedule changes and updates to staff, clients, and stakeholders in a timely manner. Monitor and track program attendance and utilization to optimize scheduling and resource allocation. Handle administrative tasks such as processing scheduling requests, maintaining records, and generating reports. Assist with the on-boarding and training of new staff members regarding scheduling protocols, business systems, and procedures. Address and resolve any scheduling-related issues or concerns from staff. Provides exceptional support and service to both internal and external stakeholders, ensuring their needs are met effectively.

Qualifications

Proven experience in scheduling and coordinating in a complex environment, preferably within an aquatic or recreational setting. Experience with UKG or similar scheduling systems is highly desirable. Strong organizational and multitasking abilities. Excellent attention to detail and accuracy. Proficient in using scheduling software and office productivity tools. Ability to manage and prioritize multiple tasks effectively. Strong communication and interpersonal skills for interacting with staff and stakeholders. Understanding of governing body policies and collective agreement. Familiarity with aquatic operations and safety protocols. Knowledge of compliance requirements and best practices in administrative processes. Ability to work under pressure and adapt to changing priorities. Strong problem-solving skills and initiative. Commitment to high standards of service.

Hours

The standard workweek consists of an average of 35 hours, with the specific schedule being determined by the immediate supervisor.

Compensation

Starting salary $29.87 per hour as per the Out-of-Scope Agreement.
