We are currently hiring an Executive Operations Assistant based in our Head Office location Are you a detail-oriented professional with a passion for enhancing organizational success? As an Operations Administrator, you’ll play a vital role in supporting our executive team and ensuring the smooth execution of daily operations. Applicants who are not located within commuting distance of our Head Office or are not looking to relocate to the Greater Vancouver/Lower Mainland/Fraser Valley region will not be considered. What you’ll do:
  • Executive Support: Provide high-level administrative assistance to multiple executives, including managing calendars, coordinating travel, preparing reports, and handling sensitive correspondence with discretion
  • Event and Meeting Coordination: Plan, organize, and execute executive and divisional meetings and events, ensuring seamless logistics, vendor management, and a positive attendee experience
  • Divisional Operations Management: Lead divisional projects, coordinate team meetings, and oversee daily office operations, including vendor relationships, facilities management, and process optimization
  • Financial and Administrative Oversight: Manage financial processes, such as reconciling expenses, tracking invoices, and ensuring compliance with organizational policies, while streamlining administrative workflows
  • Culture and Engagement Initiatives: Plan and execute culture-building events, team engagement activities, and employee recognition programs that foster a vibrant and inclusive workplace environment
  • Process Improvement and Collaboration: Develop and document best practices, implement automation solutions, and contribute to cross-functional projects to enhance efficiency and organizational effectiveness
What you bring
  • Experience & Education: 3+ years in administrative operations or executive support with a post-secondary diploma or relevant equivalent experience
  • Executive & Project Support: Proven ability to support multiple executives and lead complex projects in a fast-paced, dynamic environment. Comfortable with shifting priorities, multiple assignments and navigating ambiguous situations
  • Technical Proficiency: Intermediate skills in Microsoft 365 (Teams, Outlook, Excel, SharePoint) and familiarity with office management tools
  • Event Planning & Coordination: Strong experience in event planning, office management, and vendor coordination
  • Communication & Interpersonal Skills: Exceptional communication skills with the ability to engage with senior leadership and cross-functional teams
  • Organization & Problem Solving: Highly organized, detail-oriented, and adept at managing priorities, handling confidential information, and driving process improvements
  • Travel: Flexibility to travel and support events at various venues and a valid BC Driver’s License with a clear driver’s abstract (required for travel within the lower mainland)
The salary range for this position is $66,515 to $83,143 and is determined via job-related knowledge, skills, experience, certifications, market demand and internal equity. In addition to base salary and BCAA benefits, this position is eligible for a performance bonus target of 5%, with the opportunity to earn up to 9% What we offer:
