Job Description
Reporting to the IT Program Manager, IT PMO, the IT Project Coordinator role focuses on supporting the planning, execution, and monitoring of IT initiatives, ensuring delivery on time, within budget, and in alignment with specified requirements. This role involves collaboration across teams, managing project documentation, and facilitating effective communication among stakeholders to achieve project objectives. This position contributes significantly to IT project success through diligent coordination, tracking, and communication. This role is a full-time permanent opportunity based fully onsite at our Mississauga, ON office location.

Project Planning and Execution (40%)
- Collaborate with the Program Manager to develop detailed project plans, timelines, and milestones
- Maintain project documentation, including schedules, status reports, and risk registers
- Track progress to ensure alignment with objectives and timelines
- Act as a liaison between stakeholders and project teams to ensure clarity on objectives and deliverables
- Prepare and distribute project updates, meeting agendas, and follow-ups
- Assist in resource allocation and monitor task assignments to ensure efficient utilization
- Coordinate team meetings and ensure deliverables are completed on schedule
- Identify potential risks and escalate issues to the Program Manager for resolution
- Support the development of mitigation strategies to minimize project impact
- Recommend and implement improvements to project management processes and tools
- Maintain knowledge of project management best practices and methodologies
- 2+ years of experience in IT project-related roles
- Proficiency in project management tools (e.g., Microsoft Project, PPM Pro, Smartsheet, or ServiceNow)
- Demonstrated advanced Microsoft Office skills (Excel, PowerPoint, Word)
- Strong organizational and time management abilities
- Excellent communication and interpersonal skills
- Analytical mindset with problem-solving capabilities
- Knowledge of IT frameworks like Agile or Waterfall is preferred
- Basic understanding of IT systems and workflows
- Ability to adapt to dynamic environments and changing priorities
- Bachelor’s degree or college certificate in Business Administration, IT, or a related field
- Project management certification (e.g., PMP) is a plus
