Job Summary
The Epic Willow Inpatient and Retail Analyst is responsible for supporting, maintaining, and optimizing the Epic Willow modules for inpatient and outpatient (retail) pharmacy workflows. This role works closely with pharmacy staff, clinicians, and IT teams to ensure safe and efficient medication management processes, system enhancements, and regulatory compliance.
Key Responsibilities
System Support & Maintenance
Provide day-to-day operational support for Epic Willow Inpatient and Willow Ambulatory (Retail) modules.
Troubleshoot and resolve issues related to medication ordering, dispensing, administration, and inventory.
Monitor system performance and perform regular maintenance and testing.
Coordinate with Epic technical teams and vendors to resolve application or interface issues.
System Configuration & Enhancement
Build, configure, and maintain medication records, formulary, order sets, preference lists, and clinical decision support rules.
Participate in system upgrades, version migrations, and implementation of new Epic functionalities.
Conduct workflow analysis and design solutions that improve efficiency and patient safety.
Collaborate with clinical and pharmacy leaders to evaluate and implement system enhancement requests.
Integration & Data Management
Manage interfaces between Epic Willow and other systems such as Pyxis, Omnicell, wholesaler systems (e.g., Cardinal, McKesson), and inventory systems.
Support HL7 messaging for orders, charges, and pharmacy data exchange.
Validate medication data conversion during upgrades or EHR transitions.
Testing & Validation
Develop and execute test scripts for new builds, fixes, and upgrades.
Validate workflows end-to-end with pharmacy and clinical teams before deployment.
Document all configuration and validation results according to IT standards.
Training & Documentation
Provide end-user training and go-live support for pharmacy staff.
Create and maintain standard operating procedures (SOPs), training materials, and tip sheets.
Assist with knowledge transfer to helpdesk and support staff.
Qualifications
Education
Bachelor's degree in Pharmacy, Health Information Technology, Computer Science, or related field (preferred).
PharmD or RPh license is an advantage but not required.
Experience
4-8 years of experience supporting Epic Willow Inpatient and/or Willow Ambulatory modules.
Understanding of pharmacy workflows, medication inventory management, and regulatory standards (Joint Commission, DEA, 340B, etc.).
Experience with Epic Hyperspace, SmartSets, SmartForms, and Order Transmittal.
Familiarity with interface engines (e.g., Bridges, Cloverleaf, Rhapsody) preferred.
Certification
Epic Willow Inpatient Certification required.
Epic Willow Ambulatory (Retail) Certification preferred.
Additional Epic certifications (e.g., Beacon, Orders, ClinDoc) a plus.
Soft Skills
Strong problem-solving and analytical abilities.
Excellent communication and collaboration with clinicians, pharmacists, and IT staff.
Ability to work independently and manage multiple priorities.
Commitment to patient safety and continuous improvement.
Typical Work Activities
Monitor and resolve pharmacy-related incidents in ServiceNow.
Support go-live and upgrade activities during off-hours as needed.
Participate in change control processes and governance meetings.
Ensure system compliance with medication safety and data privacy policies.
