About The Role

The Distribution Supervisor is responsible for overseeing day-to-day warehouse operations with a primary focus on receiving, documenting accuracy, product inspection, inventory control, and team leadership. This role will initially be assigned to lead operations at a secondary site with a team responsible for manual receiving, inspection, labeling, and system entry of inbound shipments.

The Supervisor ensures safe working practices, adherence to SOPs, efficient workflow, and strong coordination between Logistics, Inventory Control, Fulfillment, RMA, and Purchasing teams.

Distribution Supervisors report to Distribution Manager.

Key Responsibilities

  • Leadership & Team Management
  • Supervise, train, and support the receiving team.
  • Plan daily workloads and allocate tasks for receiving, inspection, labeling, and documentation.
  • Ensure staff follow PSI SOPs, safety standards, and compliance requirements.
  • Conduct coaching, performance assessments, and ongoing skill development.
  • Promote accuracy, accountability, and a high-performance culture.
  • Inbound Receiving Operations
  • Oversee all receiving operations in accordance with Pacific Smoke International standards and procedures.
  • Ensure accurate processing of inbound shipments: system setup, documentation preparation, receiving steps, and inspection.
  • Verify shipment quantities, carton integrity, and condition of goods.
  • Coordinate unloading, staging, and sorting of inbound master cartons.
  • Ensure damaged shipments or discrepancies are recorded and escalated.
  • Compliance, Inspection & Labeling
  • Ensure products are inspected for damage, packaging compliance, accurate stamping, UPC correctness, and completeness.
  • Ensure all master cartons are opened to validate contents.
  • Oversee printing and correct application of product labels (SKU, name, received date, manufacturing date, color code).
  • Ensure proper segregation of damaged, partial, over-shipped, and missing items.
  • Inventory Accuracy & System Transactions
  • Oversee receiving activities in RF Smart, ensuring accurate entries for “Good,” “Damaged In Transit,” and partial quantities.
  • Validate quantities against POs, packing slips, and commercial invoices.
  • Ensure timely updates to the Inbound Shipment Excel File, Discrepancy Sheet, and New Product Logging Sheet.
  • Confirm all POs are fully received in the system.
  • Documentation & Transfer Orders
  • Ensure all shipping documents, POs, packing lists, waybills, and receiving slips are accurate and complete.
  • Oversee creation of Transfer Orders (TOs) in NetSuite for movement to the Warehouse.
  • Validate SKU quantities, fulfill TOs, and ensure proper skid labeling and sequencing.
  • Coordinate pickup schedules with Bungee.
  • Cross-Site Coordination
  • Maintain communication between two warehouse teams, Inventory Control, and Logistics.
  • Resolve receiving discrepancies between sites.
  • Support putaway planning by communicating incoming volumes, new products, and priority shipments.
  • Safety & Process Improvement
  • Enforce warehouse safety rules including proper lifting, stacking, equipment use, and ergonomics.
  • Identify operational inefficiencies and lead workflow improvements.
  • Assist with SOP updates and training rollout.
  • Performance Monitoring, KPIs & Forecasting
  • Monitor team performance using KPIs such as accuracy, productivity, throughput, and error rates.
  • Review inbound schedules and use reports to forecast daily and weekly workload.
  • Analyze volume trends to anticipate peak times and allocate resources accordingly.
  • Adjust staffing assignments to ensure balanced workflow and meet the 24-hour dock-to-stock requirement.
  • Review daily/weekly KPIs and initiate improvements when needed.
  • Space, Organization & Inventory Flow
  • Maintain a clean, organized, and efficient receiving area.
  • Ensure all inbound inventory is properly labeled, staged, and confirmed into NetSuite/RF Smart.
  • Coordinate putaway activities to avoid congestion and ensure smooth inventory flow.
  • Use data to guide space planning and storage optimization.
  • Oversee inventory flow and planning for peak seasons, including CNY active selling products.
  • Cross-Department Coordination
  • Work closely with Inventory Control, Fulfillment, RMA, Logistics, and Purchasing.
  • Communicate ETAs, inbound delays, discrepancies, and priority shipments to stakeholders.
  • Support inbound scheduling with carriers.
  • Escalate issues impacting fulfillment or inventory accuracy.
  • Technical Skills & Operational Planning
  • Use Excel and reporting tools to analyze data, track KPIs, and forecast workload.
  • Use Excel functions such as filters, VLOOKUP/XLOOKUP, and pivot tables to interpret operational data.
  • Adjust staffing levels and allocate resources based on workload forecasts and inbound schedules.
  • Ability to operate MHE equipment (pallet jack, pump truck); forklift operation is an asset.

Required

Qualifications

  • 3–5 years of experience in warehouse, distribution, or logistics operations.
  • 1–2 years supervisory or leadership experience.
  • Strong knowledge of receiving processes, documentation flow, and inventory accuracy.
  • Advanced Excel skills (VLOOKUP/XLOOKUP, pivot tables, formulas).
  • Experience analyzing operational data and forecasting workload.
  • Ability to operate MHE equipment.
  • Ability to lift up to 50 lbs.
  • Strong communication and leadership skills.

Preferred

  • Forklift certification or willingness to obtain.
  • Experience in regulated industries (tobacco, vape, CPG, alcohol, pharmaceuticals).
  • Experience with NetSuite, RF Smart, or similar WMS/ERP systems.
  • Experience in multi-warehouse or cross-dock environments.
