As a Project Coordinator, Real Estate [Temporary 12 Months] your responsibilities will include:
  • Work with the Real Estate team to support on facility renovations, office refresh projects, move-out projects (including office decommissioning)
  • Providing administrative support to the project team as needed for preparation of project documentation and management throughout the lifecycle.
  • Work with local office resources and other stakeholders to champion any project through logistical coordination
  • Track progress of each project against goals, objectives, approved budgets, approved timelines.
  • Ensure project data integrity and documentation is accurate, timely, coordinated and in alignment with our facility governance model
  • Lead “small-scale” projects with the oversight of the Project Manager
  • Champion all the requisite project documents properly throughout the project life cycle until the project closeout including commercial management
  • Assist in coordination of team meetings for facility projects and maintain and circulate meeting minutes in a timely manner
  • Keep track of project invoicing and change orders by maintaining a commercial tracker
  • Ensures that project progress reports are developed and shared via defined communication channels
  • Occasional travel will be required to visit project sites as needed to attend coordination meetings, deficiency walkthroughs, and turnover
  • Assist with lease administration tasks, including reviewing rental advice statements and annual reconciliation statements for accuracy and compliance.
  • Maintain and update lease data by uploading rent and related information into the lease administration software to ensure timely and accurate records.

Think you’ve got what it takes to be a Project Coordinator, Real Estate [Temporary 12 Months]? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:
  • The ideal candidate will have a bachelor’s degree in engineering, construction and/or other related technical studies
  • PMP/CAPM Designation is an asset
  • At least 1 year of relevant working experience in construction coordination, document control, and contractor management
  • Working experience with scheduling using MS Project is required
  • Familiarity with construction processes, contracts and activities.
  • Excellent communication, presentation, and negotiation skills
  • Advanced proficiency in Microsoft Office Tools (Word, Excel, PowerPoint, MS Teams)
  • Experience with AutoCAD or any Drawing Software is an asset.
  • Experience with PowerBI is a plus.
  • Exceptional attention to detail and organization skills with the ability to multitask and effectively manage time and workload.
