The Role: Book Keeper / Administrative Assistant
We’re looking for a permanent, part-time Book Keeper / Administrative Assistant to join our team.If you are self-motivated and possess exceptional time management abilities, we want you to work with us. This role is essential to ensuring smooth daily operations and supporting the broader team in achieving success.You are a detail-oriented professional with a passion for finance related tasks and delivering insights from data collection. You are a highly organized individual who takes pride in creating efficient workflows and maintaining a productive office environment. Strong communication skills, adaptability, and a proactive attitude are crucial for this positionEducation and Experience
- Demonstrated ability in bookkeeping / accounting and related financial processes
- 2+ years of experience in a similar administrative or office support role.
- Proficiency with office management software and tools (e.g., Microsoft Office Suite, Google Workspace).
- Experience with QuickBooks Online an asset
- Post-secondary education in business administration or a related field is an advantage.
Responsibilities
Your core responsibilities will include, but are not limited to:- Financial Administration
- Processing invoices, expense reports, and bookkeeping tasks.
- Assisting with payroll, vendor payments, and accounts reconciliation.
- Supporting the preparation of financial documents for audits or reviews.
- Administrative Support
- Distributing internal communications and company updates.
- Handling confidential information with discretion.
- Office supply ordering and inventory.
- Overseeing office equipment and coordinating repairs or upgrades.
- Maintaining an organized and tidy office environment.
- Customer and Vendor Relations
- Responding to inquiries and providing excellent customer service.
- Liaising with vendors and contractors to ensure timely services.
- Compliance and Record-Keeping
- Ensuring company records are accurately maintained and accessible.
- Supporting compliance with federal, provincial, and local regulations.
- Handling employee time tracking, vacation requests, and related documentation.
Skills
- Strong familiarity with bookkeeping / accounting
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Problem-solving skills and a proactive mindset.
- Ability to prioritize and manage competing timelines
- Must be technology savvy as our company is embracing new software and systems to streamline processes
