Job Duties
This position is accountable to the Director of the Digital Integration Center of Excellence (DICE). The incumbent will provide senior level administrative support services to the office and is responsible for the effective and efficient operations of DICE.
Ensure effective and efficient operations of DICE by providing administrative and professional clerical support to the Director and other Applied Research staff.
Event Organization and Meeting Logistics
- Record and transcribe minutes from team and partnership meetings as needed.
- Assist with planning webinars, hybrid, and in-person events relating to DICE. This may include internal (Sask Polytech) webinar series, external webinars and “lunch and learns,” networking events, lab tours, and research showcase events.
- Arrange catering, room rental, AV, registration, etc for events as needed.
- Supports the organization of student recruitment sessions, including scheduling, communication, and logistics arrangement
Administrative Support
- Perform data entry on databases, clients and contacts, paper and electronic files and process incoming/outgoing mail.
- Respond to routine requests and inquiries from business and industry, management, staff, students, government, and external agencies.
- Initiate, adjust, and maintain daily schedules and calendars for the Director of DICE.
- Independently organize and prioritize multiple tasks in a dynamic and fast-paced changing work environment.
- Reception (in-person, telephone, email) for internal & external stakeholders.
- Inventory of office supplies and placing orders as needed.
- Manage ordering and tracking of IT equipment for DICE personnel.
- Gather information for creating web requisitions.
- Assist DICE staff and research personnel by fulfilling various administrative tasks as requested, e.g., travel arrangements, expense claims, meeting organization, etc.
- Support the confidentiality and security of the office through a variety of professional process and practices
- Assist with the preparation and submission of hiring and staffing documentation for research positions, ensuring compliance with established HR and institutional procedures.
- Provide administrative support for the onboarding of new employees, including coordination of required documentation, system access, and orientation arrangements.
- Assist with monthly reporting on DICE activities, and other ad hoc reporting needs as requested (includes tracking grant applications, results of competitions, partner meetings, event participation, and compiling and formatting report documents).
- Assist with the composition, production and processing of correspondence sent out on behalf of DICE (involves proofreading and editing with a high degree of accuracy and correct application of grammar).
- Other Administrative tasks as assigned.
Communication
- Assist with the creation of slide decks for presentations, professional information materials and workshops.
- Maintain and update the DICE website content, always ensuring that information is current and consistent with the departmental and communications team standard
- Maintain and update content for the DICE webpage, in conjunction with Communication and Marketing teams, following appropriate visual identity and branding guidelines.
- Arrange printing/production of hard copies, when necessary.

Required Qualifications, Skills and Abilities (QSA)
1. Completion of a Grade 12 diploma plus a recognized certificate in administrative/office education or equivalent combination of training and/or experience.
2. Two years experience in an administrative assistant position.
3. Training and/or experience at the advanced level in Microsoft suite.
4. Excellent interpersonal and communication skills, both written and oral.
5. Effective administrative, organizational and time management skills, including the ability to produce high quality confidential work under tight timelines and changing priorities.
6. Working knowledge of administrative financial reporting.
7. Demonstrative ability to take initiative, prioritize tasks, and work with limited supervision.
8. Ability to work as part of a team and to maintain effective working relationships with diverse groups and individuals.
