Qualifications

  • High School Diploma (or equivalent) with 1–2 years of relevant experience
  • Valid Class 5 Driver’s License
  • Clean vulnerable sector criminal record check
  • Ability to safely lift and carry up to 10Lbs on a regular basis
  • Ability to safely lift and carry up to 50Lbs occasionally
  • Ability to stand for prolonged periods of time
  • A combination of education, training, and experience may be considered

Assets

  • Proficiency in Microsoft Word and Microsoft Excel
  • Experience with inventory systems or procurement processes
  • Strong organizational and time management skills with attention to detail
  • Effective communication and interpersonal skills
  • Ability to work independently and collaboratively in a team environment
  • Strong problem-solving skills and ability to manage competing priorities
  • Basic understanding of purchasing, inventory control, and logistics processes

Nature and Scope of Work

Reporting to the Senior Director, Facilities & Ancillary Services, the Acquisition Technician coordinates the activities of the Book Distribution Centre, ensuring efficient acquisition, inventory management, and distribution of course resources. This role provides excellent customer service while maintaining a high level of accuracy, organization, and collaboration with internal and external stakeholders.

Duties and Responsibilities

Provide Excellent Customer Service

  • Maintain and demonstrate maximum awareness of Northern Lakes College (NLC) and book distribution policies, procedures, and practices
  • Provide excellent, timely, and knowledgeable service to students, staff, and faculty
  • Build and maintain positive working relationships with internal stakeholders and external suppliers
  • Proactively identify and communicate issues to supervisors, internal departments, and vendors, and support resolution efforts

Procurement & Inventory Management

  • Coordinate the acquisition and distribution of course resources based on program requirements (Unit 4 system)
  • Create and process purchase orders for required materials
  • Submit approved purchase orders to suppliers and track order progress
  • Receive shipments and verify products and quantities against purchase orders and invoices
  • Enter receiving and invoice data accurately into Unit 4 (U4)
  • Code and forward invoices and supplier credits to the Accounting Department

Warehouse & Distribution Operations

  • Organize, label, store, and maintain inventory in a clean, efficient, and accessible manner
  • Prepare book orders, including paperwork, packing, and shipping documentation
  • Pick, pack, and ship orders accurately within established timelines via internal courier or external delivery services
  • Maintain accurate sales order records to ensure proper cost allocation to program cost centres and project codes
  • Conduct ongoing inventory monitoring to identify obsolete or excess stock and coordinate returns when required
  • Maintain detailed and accurate inventory records in spreadsheets by program, term, or year
  • Participate in the annual inventory count, including reconciliation and discrepancy reporting
  • Archive records in compliance with records management procedures
  • Monitor and replenish bookstore office and shipping supplies

Successful candidate must provide College or University transcripts and a clean Criminal Record Check to Human Resources prior to commencement.

This position is covered under the Collective Agreement between Northern Lakes College and the Alberta Union of Provincial Employees.
