Position Details

The University of Lethbridge School of Graduate Studies invites applications from students registered in a co-operative education program for a full-time, temporary Graduate Funding Assistant position beginning September 1, 2026 (or earlier) and ending April 30, 2027, with the possibility of extension.

Graduate funding and employment play an important role in supporting student success and advancing the university’s research and academic mission. The Graduate Funding Assistant contributes to the effective administration of scholarships, awards, graduate assistantships, and related funding programs by supporting key administrative processes and helping ensure students, faculty, and staff have access to clear, accurate, and timely information.

This position offers an excellent opportunity for students interested in higher education administration, project management, communications, and process improvement. The successful candidate will gain experience working with complex administrative processes, supporting institutional committees, managing communications, and developing documentation used across the university.

In this role, the successful candidate will

  • Document and update procedures related to graduate student funding, employment, and administrative processes.
  • Assist with the administration of graduate funding and employment activities, including preparing and maintaining records, forms, and databases.
  • Respond to inquiries from students, faculty, and staff by providing accurate and timely information regarding graduate funding and employment processes.
  • Support the maintenance and enhancement of online resources, including website content, guides, and reference materials.
  • Provide administrative and logistical support for graduate award adjudication committees, including scheduling, communications, and document preparation.
  • Assist with process improvement initiatives and special projects that enhance service delivery and operational effectiveness within the School of Graduate Studies.
  • Perform other related duties as assigned.

Position Qualifications

The successful candidate must be eligible for a co-op placement as part of their program of study.

Education

  • Senior undergraduate or graduate student enrolled in a post-secondary program that permits participation in a co-operative education placement.
  • Students from a variety of academic disciplines are encouraged to apply; coursework or experience in administration, communications, business, education, social sciences, or a related field is considered an asset.

Knowledge, Skills, and Abilities:

  • Excellent interpersonal, verbal, and written communication skills, with the ability to communicate effectively with students, faculty, and staff.
  • Strong organizational and time-management skills, including the ability to manage competing priorities and meet deadlines in a fast-paced environment.
  • Exceptional attention to detail and a commitment to accuracy when working with data, records, and administrative processes.
  • The ability to work independently while also contributing positively to a collaborative team environment.
  • Sound judgment, professionalism, and discretion when handling confidential information.
  • Strong analytical and problem-solving skills, with the ability to learn new processes and systems quickly.
  • Proficiency with Microsoft Office applications, particularly Outlook, Word, Excel, and Teams.
  • Experience maintaining websites, creating documentation, managing shared email accounts, or providing administrative support is considered an asset.

Starting Salary Range (at 1.0 FTE)

$3,648.00 - $4,035.00 monthly

Full Salary Range (at 1.0 FTE)
