Reporting to the Senior Manager, Emerging & High Growth Practice (EHGC), the Equity Management Coordinator will support the Emerging & High Growth Companies (EHGC) Group. Working with clients, legal and administrative team members. This position is responsible for the setup and maintenance of Equity Management platform for clients.

Major Responsibilities:

  • Coordinating the equity management platform onboarding process for clients, including liaising between the equity management vendors and client
  • Work directly with the client and equity management customer support to troubleshoot problems
  • Collaborating with lawyers in the Emerging and High Growth Companies group to reconcile deficiencies in client equity data, including conducting audits
  • Work closely with stakeholders within OWT to create a streamlined process to ensure all company records are reconciled and consistent within equity management platforms, athennian & the company’s capitalization table
  • Updating and maintaining client equity management accounts to reflect changes in equity data. Responsible for the firms tracking of clients of using equity management platforms
  • Responsible for client referrals to equity management platforms, such as (i) share issuances, exchanges and transfers in connection with primary and secondary financing rounds, and (ii) stock option administration including option issuances, option exercises, and amendments to equity incentive plans
  • Responsible for the migration of client equity data (shares, options, convertible securities etc.) from the client minute book to equity management platforms, including reviewing and extracting relevant information from corporate records

Position Requirements

Education and Experience

  • A university degree with an interest in the legal industry and/or a college Law Clerk diploma
  • An understanding of Canadian corporate law and at least one year of work experience reviewing, updating and maintaining minute books for corporations, with a emphasis on equity management is preferable
  • Experience in a professional services environment is an asset
  • An equivalent combination of education, training and experience may be acceptable

Knowledge And Skills

  • Strong analytical skills, attention to detail and a problem-solving mindset
  • Ability to manage and prioritize tasks with competing deadlines
  • Familiarity and experience working with equity management software (e.g. Carta, Shareworks, Pulley) and legal entity management software (e.g. ALF Corporate, Athennian) is preferred
  • Strong verbal and written communication skills
  • A team player who also works well independently
  • Customer service oriented
  • Strong ability to learn existing business practices

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
