The School of Graduate Studies (SGS) promotes University-wide inclusive excellence in graduate education, research and professional training to ensure high standards across the various academic divisions, as well as supporting postdoctoral fellows. SGS defines and administers University-wide regulations for graduate education. We share responsibility for graduate education with graduate units and divisions and operates through a system of collegial governance, consultation, and decanal leadership.

SGS also provides expertise and advice; reviews the design and delivery of programs; develops performance standards; supports access, equitable inclusion, fairness, and ethical conduct in graduate education; organizes services and financial assistance to graduate students; encourages a close and positive relationship between research and graduate instruction and represents the cause of graduate education at the University of Toronto and in the broader academic and general community.

Your Opportunity:

Under the general direction of the Director, Student Academic Services, the Systems Support Representative (SSR) provides user support and training to those staff in the School of Graduate Studies (SGS) and in graduate units and programs using the SGS student and applicant related applications and databases. The SSR provides frontline, user oriented technical support to applicants, referees, graduate students, graduate unit staff, and graduate faculty in the use these applications. The incumbent provides frontline support to SGS and graduate program staff using institutional systems, such as ROSI, GradApp, eMarks, and Degree Explorer and coordinates the production schedule throughout the year.

The SSR maintains the database and directory of SGS staff as well as staff and academic administrators in graduate programs, collaborative specializations and graduate units on all three campuses of the University. The SSR manages access rights for applications and databases managed by SGS, and processes requests for access to graduate records in ROSI.

Your responsibilities will include:

• Training end-users on procedures and the use of supported IT systems.
• Troubleshooting and resolving technical issues. Coordinating program schedules with stakeholders.
• Ensuring that procedures and/or guidelines are followed. Applying established standards when providing database access to users.
• Running queries to gather data. Generating reports. Handling sensitive and/or confidential information.
• Analyzing service delivery and/or internal processes and recommending improvements.
• Maintaining information on digital platforms.
• Creating and editing support documentation.
• Serving as a technical resource on hardware and software related issues. Coordinating meeting schedules, agendas, materials, action and follow-up items.

Essential Qualifications:

• Bachelor’s degree or equivalent of education and work experience.
• Three (3) years of related experience in front line student services role.
• Demonstrated knowledge of the Student Information System (ROSI) or other similar student information system.
• Familiarity or proficiency in SQL and VBA.
• An understanding of the graduate student “life cycle” and graduate business processes to be able to provide thorough process and data advice and training to staff and students.
• Proficiency with desktop productivity software (MS Word, Excel, Outlook).
• Strong proficiency with ROSI, Degree Explorer, eMarks, and other University records applications.
• Understanding of relational databases.
• Familiarity with configuration and navigation of multiple web browsers and email clients.

Pay Scale Group & Hiring Zone:
USW Pay Band 11 -- $75,223. with an annual step progression to a maximum of $96,196. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
