Responsibilities
The Administrative Support II will contribute to the efficient running of the department by performing a range of administrative tasks in accordance to policies and procedures. The incumbent will assist with the day-to-day administrative activities in the department, provide support for leadership and administrative roles, and respond to general inquiries. They will be a helpful point of contact for students, faculty, staff and collaborate with numerous functional areas on campus. The incumbent will be responsible for a variety of tasks such as mail distribution, shipping/receiving, procurement, room bookings and building inquiries. They will upkeep various calendars, lists and files, as well as prepare and/or distribute various communications. The Administrative Support II will assist with the coordination of meetings, events, and visitors ensuring any required resources are available and associated documentation is completed. The incumbent may be required to support with various Finance, Human Resource, and Collective Agreement related tasks as directed by the Administrative Officer and Department Chair.
Qualifications
Education:
- Community College Diploma in an administrative field or a higher education degree
Experience:
2 years of administrative experience providing customer service, preferably in an academic institution
Skills, Abilities & Expertise:
- Knowledge of general office procedures
- Professional written and verbal communication skills
- Computer skills with the ability to learn and use software programs
- Basic computer skills in Microsoft Office Suite
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Ability to follow formal business practices with high attention to detail
- Ability to multi-task and maintain an organized and effective personal work environment
- Adapts readily and effectively to changing priorities and demands
- Personable and courteous in working relationships with colleagues, students and the public
- Demonstrated ability to understand and resolve external and internal partner issues
- Ability to work independently and effectively as a member of the team to achieve department goals
- Ability to work in a manner that is compliant with confidentiality requirements
