Job Description
NSSM is seeking a highly organized and proactive Executive Personal Assistant/Administrator to support a busy CEO with a range of administrative and personal tasks. The ideal candidate will have excellent organizational and multitasking skills, strong attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities
Communication Management
- Coordinate internal and external communications on behalf of the CEO.
- Act as a liaison between the CEO and internal/external stakeholders, including clients, partners, and NSSM team members.
- Draft and respond to emails on behalf of the CEO, ensuring professionalism and accuracy in all communications.
Administrative Support
- Provide administrative assistance such as drafting correspondence and employment contracts, preparing presentations, and organizing documents.
Meeting Coordination
- Arrange and prepare materials for meetings, including agendas, presentations, and follow-up actions.
- Attend meetings, take minutes, and distribute notes to relevant parties as necessary.
Project Support
- Assist with special projects, research initiatives, and ad-hoc assignments as directed by the CEO.
- Maintain project timelines, track progress, and provide regular updates to ensure objectives are met.
Event Planning
- Support event planning and coordination for company initiatives.
Marketing Support
- Prepare and execute social media posts and email blasts.
- Review and track financial and patient visit data and provide reports to CEO on a weekly basis.
Confidentiality
- Handle sensitive information with the utmost confidentiality and discretion.
- Maintain a high level of professionalism and integrity in all interactions and communication.
Requirements
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite and other relevant tools.
- Proficiency with Canva and Mailchimp would be a benefit.
- Ability to work independently and prioritize effectively.
- Discretion and professionalism in handling sensitive information.
- Valid driver's licence.
Salary range $48,000 - $58,000 depending on experience
